Office Administrator

£12.00 - £14.00 hourly

Job Description/Duties

1.1 Your Career at Slipstream Design
Working at the forefront of Radio Frequency (RF) technology, we translate complex sensing and communications challenges into practical capability for environments where connectivity is limited,
degraded, or denied. We form close and collaborative relationships with our Blue-Chip customers
who operate at the leading edge. The type and variety of projects we tackle will fire your
imagination and challenge your thinking.

We've grown a team of high performing problem solvers with a strong track record delivering critical programs for the defence primes, UK Ministry of Defence and other national security customers.
Alongside this, we're developing our software defined Radio Frequency products which incorporate
hardware and software modules.

As the Office Administrator, you’ll be welcomed into an encouraging, structured environment where
your initiative and organisational skills make a direct impact. You will gain hands-on experience in
business administration, finance processing, and supply chain logistics, applying your experience
directly to live business operations.

1.2 The Role: Junior Office Administrator on a T-Level placement
The Office Administrator position is an exciting 15 hours per week role tailored specifically for a
student currently studying towards a Business or engineering qualification. You will become a core
member of our business support team, gaining practical workplace skills while keeping the company
running smoothly.

You will take hands-on responsibility for day-to-day administrative and operational tasks, including
purchasing project, lab, and office supplies, monitoring consumables, processing purchase invoices
on our accounts software, and managing incoming/outgoing shipments.

We are looking for an organised, conscientious student who is keen to build a strong foundation in
business administration, financial processes, and logistics. You will receive dedicated mentorship
from our Office Manager and Financial Controller, developing professional habits, operational
confidence, and business acumen.

2.0 Key Areas of Responsibilities
You will hold a practical, hands-on administrative remit focused on procurement support, accounts
processing, and logistics coordination.

  •  Purchasing & Supplies Ordering: Support the ordering of project, lab, and office supplies as
required across the business, raising purchase orders and including where appropriate obtaining
    quotes from suppliers.
  • Consumables Monitoring: Regularly monitor stock levels of office and laboratory consumables,
placing timely orders to ensure engineering and administrative teams never run out of critical
    supplies.
  • Deliveries & Returns Management: Book in incoming deliveries and process supplier returns,
inspecting packages for accuracy, updating inventory logs, and notifying internal recipients.
  • Invoice Processing: Process purchase invoices accurately on the company accounts system,
matching invoices against purchase orders and delivery notes in coordination with the finance
    team.
  • Dispatch & Shipping Coordination: Arrange domestic and international shipments of packages
and project items, preparing shipping documentation, courier bookings, and tracking logs.
  • General Office Support: Assist the Office Manager with daily office upkeep, visitor hospitality,
meeting room preparation, and general filing under our ISO 9001 quality system.
  • Process Improvement: Participate in administrative reviews to suggest improvements to
purchasing, filing, and office tracking procedures.

2.1 What will make this role exciting
You will bridge the gap between business management theory and live commercial operations.
Working 15 hours per week inside a fast-growing defence-tech business, you will get real
responsibility over financial software, procurement workflows, and shipping logistics.

You will develop a well-rounded skill set across operations, finance, and office management that will give you a significant head start in your career.

2.2 What will make this difficult
Precision and accuracy matter, entering wrong invoice figures, misplacing shipping documents, or
letting lab consumables run out can directly impact finance tracking or engineering project timelines.

You will need to juggle multiple administrative tasks across your two placement days, stay organised
under deadline pressure, and ask for help whenever you encounter something new.

2.3 This role is for you if you are:

  • Organised & Methodical: You enjoy structure, keep neat lists, and pay high attention to detail
when entering data or managing paperwork.
  • A Proactive Problem Solver: You notice when stock is low or an invoice doesn't match a PO, and
you take the initiative to get it sorted.
  • Eager to Learn: You actively listen, take notes, and absorb new administrative procedures and
    financial software quickly.
  • A Clear Communicator: You feel comfortable talking to suppliers, couriers, and colleagues at all
    levels with professional courtesy.
  • Reliable & Punctual: You treat your two placement days with professional discipline, managing
your college workload so you arrive ready to contribute.

2.4 This role is not for you if you:

  • Prefer purely theoretical study: You dislike routine administrative tasks, filing, data entry, or
    package handling.
  • Cut corners on details: You view invoice matching, stock logging, or address verification as
    tedious rather than essential.
  • Struggle with time management: You find it difficult to prioritize tasks when several requests
    arrive at once.
  • Avoid asking questions: You guess how to process data or fill out forms rather than double-
    checking with the team.

3 About You

3.1 Must have

  • Education Status: Currently enrolled in and studying towards a Business or Engineering
    qualification (e.g., Management, Administration).
  • Computer Literacy: Strong working knowledge of standard IT tools (MS Office / Google
Workspace, particularly Excel/Sheets and Word/Docs) with an aptitude for learning accounts
    software.
  • Numerical Accuracy: Good basic numeracy skills with high attention to detail for processing
    financial invoices and order figures.
  • Communication Skills: Professional verbal and written communication skills for interacting with
    suppliers, couriers, and team members.
  • Organisational Ability: Demonstrated ability to manage time effectively, keep track of
    paperwork, and follow multi-step processes.
  • Residency & Security: Must have a minimum of 5 years permanent UK residency and be eligible
to obtain UK Security Clearance (SC)

3.2 Nice to have

  • Software Exposure: Prior exposure to accounting software (e.g., Xero, Sage, QuickBooks) or
    inventory/ERP systems
  • Customer Service: Previous work experience or volunteer work involving customer service,
    retail, or administrative tasks.
  • Logistics Awareness: Basic understanding of courier booking systems or postal processes.
