We are currently recruiting for a Temporary Personal Assistant to the Directors of Advancement to join a busy and professional team at the University of Leeds. This is an excellent opportunity for an organised, proactive and highly professional individual who enjoys supporting senior leaders and ensuring the smooth running of day-to-day operations.

In this role, you will provide high-level administrative and personal assistant support to Directors, managing complex diaries, coordinating meetings, handling correspondence, and ensuring priorities are effectively managed. You will be a key point of contact within the team, helping to maintain efficient workflows and providing support across a variety of projects and activities.

Key Duties

  • Proactively manage Directors' diaries, schedules and meeting arrangements.
  • Monitor and manage high-volume inboxes, prioritising communications and responding where appropriate.
  • Prepare briefing materials, presentations, reports and correspondence.
  • Coordinate UK and international travel arrangements, including detailed itineraries and expense reconciliation.
  • Act as the first point of contact for enquiries and provide professional support to internal and external stakeholders.
  • Maintain accurate digital filing systems and contribute to process improvements.
  • Organise meetings, take minutes, track actions and ensure follow-up tasks are completed.
  • Provide diary management support for senior team members.
  • Work collaboratively with colleagues to ensure effective administrative support across the wider team.

What We're Looking For

The successful candidate will have:

  • Previous experience providing PA, Executive Assistant, or high-level administrative support within a busy office environment.
  • Strong diary and inbox management experience supporting senior managers.
  • Excellent organisational skills with the ability to manage multiple priorities and meet deadlines.
  • Outstanding communication and interpersonal skills, with the confidence to liaise with stakeholders at all levels.
  • The ability to work independently, use initiative and solve problems proactively.
  • A professional and discreet approach, with experience handling confidential information.
  • Strong IT skills, including Microsoft Outlook, Word, Excel and PowerPoint.

Desirable Experience

  • Experience using CRM systems such as Raiser's Edge or similar databases.
  • Experience using task management platforms such as Trello or equivalent workflow tools.

Rate of Pay: £29,588 per annum, pro rata
