Role Overview & Team Information:
Working with the Business Support and Office Manager, you will provide administrative support the Advancement. This is a great opportunity for a logical and proactive individual. You will require excellent planning and organisational skills with the ability to effectively multi-task a diverse workload. Excellent interpersonal, communication and customer service skills are essential to be successful in this role.

Main duties and responsibilities
• Responsibility for monitoring the Business Support and Office Management (BS&OM) e-mail inbox and associated Microsoft Teams channels, identifying and completing actions and ensuring that all tasks are recorded, updated and tracked through the relevant office systems and processes;
• Support the efficient running of the Advancement Team office space by arranging maintenance tasks, Health and Safety and Fire Safety tasks;
• Maintaining all office stationery and supplies, regularly performing a stocktake to ensure supplies are not depleted;
• Raising purchase orders, tracking delivery and goods receipting; and ensuring orders are processed in line with university procurement and finance policies, escalating issues as appropriate;
• Support HR administrative duties in the areas of sickness reporting, recruitment, onboarding new staff, staff departures;
• Support for the Advancement Operations Team, arranging some meetings and assisting with opening and sorting incoming mail.
Qualifications and skills
Essential:
• Experience of providing professional administrative support for a busy team or similar role;
• The ability to work with a high level of accuracy and attention to detail and the ability to identify errors and inconsistencies;
• A proactive approach with the ability to exercise a high degree of initiative, work independently and the ability to rethink/adjust plans to overcome unforeseen obstacles;
• Strong IT skills with experience of using Microsoft including Word, Excel and Outlook, Office365, Teams and Forms.
