Temporary Student Events and Programmes Administrator

Job Description/Duties

Joblink are recruiting on behalf of the Leeds University Union Student Events and Programmes team. 

The successful applicant will provide administrative and operational support to the Events and Programmes team and give exceptional customer service to a programme of activities and events for both students and the general public. 

Duties & Responsibilities:  

Planning 

To contribute to the development and implementation of the Student Programmes Department plans. 

To contribute to the delivery of the Leeds University Union Strategy and the Events and Programmes Team Plan  

Working with Others 

To lead on administrative support for the Student Programmes and Events Team  

To put in place streamlined processes to facilitate and support the delivery of the commercial and student led events calendar. 

To work effectively with people, developing productive relationships with colleagues, students and stakeholders.  

To participate in regular departmental meetings and LUU staff meetings 

To be the first point of contact for students and the public seeking information about the LUU Events and Programmes Calendar.  

To ensure a fun, safe and happy environment for LUU members.   

Managing Resources 

To utilise resources and make appropriate purchases in line with the budget and the limits of authority taking account of ethical and environmental considerations. 

Personal Effectiveness 

To ensure that personal knowledge and skills are updated to ensure effectiveness in meeting work objectives. 

To be able to manage your time effectively, completing urgent tasks efficiently and accurately whilst continuing ongoing projects and work. 

Service Delivery 

To support the Student Programmes team in ensuring that Crossroads, and its staff and volunteers, meet its operational service standards  

To provide occasional operational support for the Crossroads space  

To provide excellent customer service, supporting all LUU members who interact with The Events and Programmes Team  

To ensure the service is accessible for all customers and meets the needs of LUU’s 

diverse membership. 

Administration of the LUU Events inbox and the Student Programmes and Events Inbox and provide admin support for general booking enquiries 

To deal with Events’ general enquiries (telephone and email). 

To provide full administrative support, including invoicing and minute taking.  

Compliance 

To comply with LUU’s internal procedures and all external legal requirements to include Health & Safety and licensing regulations. 

General  

Such other duties as may be reasonably prescribed Student Events Leadappropriate to the grade and responsibilities of this post. 

To attend weekly Events meetings. 

To take notes and record actions at departmental planning meetings. 

To deal with accessibility enquiries from customers. 

To deal with event listings and support on sale announcements. 

What you'll need (Essential Qualities / Experience)

GCSE English and Maths or equivalent

Experience of providing excellent customer service

Experience of performing administrative tasks

Excellent customer service skills 

Good Team working skills  

Excellent written and verbal communication skills 

Ability to use initiative and problem solving skills 

Experience of using Microsoft packages 

Organisational skills and ability to adapt to changing priorities

Desirable Qualities / Experience

Experience of working with students

Knowledge of compliance including Health and Safety practices

Location:

  • Leeds University Union

Hours:

  • Part-time - 15 hours per week
  • Pay - £12.71 p/h
  • Duration- 10th June - September with possibility for extension.
