Joblink are pleased to be recruiting on behalf of the Advancement Team at the University of Leeds.

Role Overview & Team Information:

Working with the Business Support and Office Manager, you will support the Advancement Team during the implementation phase of their IT Estate project, undertaking a range of document and file management activities.  This will include reviewing, organising and migrating documents and folders to new locations In line with university data management policies. You will liaise with stakeholders to identify essential files to be retained and those no longer required, with the overall aim of preserving critical information, reducing data storage across the team, and strengthening data governance and system security.

Main duties and responsibilities

·     Identifying, organising and relocating electronic Microsoft Office/365 files (e.g. Word, Excel, PDF files etc) to new designated locations in Sharepoint folders.

·     Liaising with key stakeholders across teams to identify those files which are to be retained and moved.

·     Working closely with stakeholders to review documents and files against new naming conventions, identifying non-compliance and renaming where required.

·     Collaborating with the Business Support and Office Manager to agree activities, accurately record work completed, and provide regular progress updates.

·     Maintain confidentiality following the university policy and procedures.

 Qualifications and skills

Essential:

·     Experience in the use of Microsoft packages, OneDrive, SharePoint and Microsoft Teams sites for collaboration and document management within a professional environment.

·     Experienced in building strong working relationships with stakeholders to drive projects through to successful completion.

·     Excellent written and verbal communication skills, with a proven ability to contribute effectively as a supportive and collaborative team member.

·     Methodical and well‑organised approach to work with the ability to rethink/adjust plans to overcome unforeseen obstacles and deliver outcomes.

Desirable

·     Experience of handling confidential or sensitive information tactfully and securely.

Duration of the role

  • Until 31st July 2026

Location:

  • University of Leeds (on-site).

Hours:

  • 35hrs per week, within office hours.

Pay

  • £14.67/hr
